Ky. Virtual Adult Education

Adult Education Resource DB Minutes

CPE, Meeting Room B
4/19/01

Atendees: Pat Burchell, Jacqueline Korengel, Rosie Maum, Susan Brown, Cindy Read, Sara Callaway, Miko Pattie, Jane Martel, Sandra Kestner, Beth Kraemer

1.  Jane asked that we all use the form (http://lib.uky.edu/AESurvey/) to suggest resources to add to the database.  There has not been an overwhelming response to the email request sent to the state.

2.  Southern LINCs - There is a conference call scheduled for next week for Jane, Miko, Beth to talk with LINCs people about our request to upload records from their database to ours.  Our request is beyond the current agreement between Kentucky and LINCs.  The current agreement is fairly recent, however, and could be flexible.  There is also the chance that we could bribe them by suggesting that KYVL could host a version of their database that would be compatible with the protocol required to search multiple databases simultaneously (z39.50).

3.  Collection Development policy - What do we do when people give us paper documents that they would like to include in the database?  Basically, we are going to ask the SMEs if the document is appropriate.  (Our collection is going to be "selective", not comprehensive.  This is true for electronic resources and resources that we are going to digitize.)  If the document is recommended by the SME, we will give the submittor a form to assess how easy it will be to digitize, whether copyright is a problem, and any other barriers to digitization.  Beth is creating the form and will send a draft to the list for review.  The form will be linked from the "Suggest a Resource" form, so that people will know they can suggest non-electronic resources.  Resources that need to be scanned will be sent to the Kentuckiana group for digitization (Miko:  Do they know about this?).  Resources that exist in electronic format already will be converted by Beth, however slowly.... :-)

4.  Lesson Plan template - We want to provide a way for people to enter lesson plans into the database.  Sandy and Rosie will identify a suitable template and send a copy to the list.  Beth will create an online form, similar to the one for adding resources.  The template will enable us to have consistent lesson plans and reduce variability in quality.

5.  Family Literacy - We wanted to define the relationship between the database the FL people are creating, and ours.  Based on Cindy's decription, it looks like they are creating a library catalog (a database of physical items).  We recommended that their database be z39.50 compliant, so that it can be searched in conjunction with our database.  That way, a user can find physical items in the FL collection and find electronic FL resources that are included in our database.  The databases will complement each other.

Next meeting:  May 14, 10:00, at CPE.
