  1. Marketing (Sugar and Jane). 
    1. We will advertise the databases at the KAACE conference. 
    2. Buttons, bookmarks, magnets, stress balls, stickers for computers
    3. What is the budget for this?  (Jane will find out)
    4. Is there a newsletter that would be appropriate?
    5. KYVL will do a press release
    6. Professional development/training sessions.  We expect the AE database to be incorporated into the PD schedule.  We’ll ask Sandy if it will be added to the orientation module for new AE instructors.
    7. Fliers.  Possible insert with other DAEL material.
    8. Advertise at ESL conference, December 7-8, Louisville
    9. We need to work on a logo/catchphrase.  We created a group to investigate.  Sugar will head this group.  Erin and Pat (Burchell) volunteered to participate.  Everyone should send suggestions to the list.  The smaller group will sort through suggestions.

                                                              i.      Catchphrase suggestions:  “Adult Ed All Hours” or “Adult Ed 24/7”

  1. Focus Groups (Jane). (To evaluate database, content and usability)
    1. Can we compensate teachers who agree to participate?  (Jane said yes)
    2. 10 people per focus group
    3. Hold regional focus groups (more important for buy-in rather than getting additional input)
    4. Suggest 3 focus groups around the state, combining Adult Ed regions:

                                                              i.      Regions 3,4,5 – Conducted by Rosie in Louisville

                                                            ii.      Regions 2,6 – Conducted by Pat (Burchell)  in Clay Co.

                                                          iii.      Region 1 – Conducted by Jane in Madisonville

    1. How do we conduct these sessions?  Recommended that we give people a task, watch them perform it.  Then ask them to look for whatever they want.  Then have group discussion.
    2. Rosie, Jane and Susan will nail down focus group details.

  1. Mapping to LINCS (Beth). 
    1. When (if?) we incorporate LINCs records, we need to take their large number of subject terms and “map” them to the terms we have on our nav bar.  Otherwise, the LINCs records will not be available via the quick-search provided by clicking on the nav bar.  Beth will add a new field to the LINCs records for the KYVL AE nav bar terms.  We need to establish an algorithm that says subject term A in LINCs is mapped to navbar term A.  Because the LINCs terms in their thesaurus are grouped, this might not be as painful a task as it might sound!
    2. Jane will ask Pat Barkley for help in this.
    3. Susan will add a link to the LINCs thesaurus to our workspace.
    4. We are still waiting to hear back from LINCs about whether they have accepted the terms of our relationship and are willing to give us their records.  (We agreed to permit free access by people outside KY to the z39.50 version of the LINCs database.  This will permit others to incorporate the database into their own z39.50 environments and provide the ability to search LINCs in combination with other databases.)  Jane has been trying to contact them to get a final answer.

  2. Curriculum (Susan).
    1. Do we provide access to the curriculum document via KYVL?  KYVU (Randolph) wants this to be accessible.
    2. We had decided last time that this document is too big and too out-of-date and everyone who needs it has a paper copy already anyway.
    3. If updated (outsourcing to do this??), would we want to make this available via the AE site?  It was suggested that the curriculum is not used much.  Maybe if it were updated and put in a highly usuable format online, this would make it a more usable document.
    4. Sounds like KYVU plans to put it up, via courseware? 
    5. A lot depends on how the document is available now.  If we can’t come up with the electronic version, it would be very difficult to scan and OCR such a large document.  Consensus of the group:  If only exists in paper, not worth scanning.

  3. KET Resource Issues (Susan).
    1. There is a meeting on Monday (6/11) between KYVL/KYVU and Millie of KET.  Randolph is pursuing idea of digitizing KET material for an online course available via KYVU.
    2. Digitizing video is something KYVL is not prepared to take on right now.
    3. Jackie clarified what KET has now.  Each course has 3 components - video, workbooks, and online activities.  KYVU is looking at purchasing access to the online stuff.
    4. The money DAEL pays KET for GED stuff is, apparently, a whole different deal.  (editorial note:  I didn’t really follow this discussion.  If someone wants to clarify, and correct the minutes, please do!)
    5. The possibility of digitizing the workbooks has not been discussed yet (might come up during Monday’s meeting)
    6. If KYVU gets this stuff into an online course, we will be able to create records in our database that point to these materials.  Otherwise, it looks like the KET issue will be a KYVU thing, not KYVL.
  4. Review Collection Policy Statement (Jane):
    1. Policy crafted last time was accepted, with a minor modification.
    2. Original draft:  The adult education resource database is a virtual repository of selected resources deemed by a panel of subject matter experts to be of potential value to adult educators and adult learners in Kentucky.
    3. Revised version:  The adult education resource database is a virtual repository of selected resources deemed by a panel of experienced adult educators to be of potential value to adult educators and adult learners in Kentucky.

    1. Delete “we will promptly let you know” from the non-SME “Submit a Resource” page.  We don’t really have a mechanism for letting people know when we have made a decision about a particular resource.
    2. June 19 meeting is cancelled!
