Digitization (Guest - Eric Weig, Kentuckiana Digital Library).

Eric presented information to help us with our decisions and methods for
digitizing paper materials for inclusion in the database. His presentation

Selection should include consideration of these issues:

Copyright. Iif there is a copyright problem, we can't digitize.

Quality of the original. If document is a copy, it should
be 1st generation. Original print-out is best.

Subject Selection. The SMEs have to determine whether the
document fits within the scope of the database.

Metadata (which means the information the SMEs fill out about the document)
should be as complete as possible. The ability for users to access
the digitzed document depends on how well we describe the document in the
record.

Attributes of an electronic document:

Printability
-
Ease of navigation
-
Look/feel of the original
-
Flexible sizing (esp. for visually impaired users)

Ease of downloading

Eric has designed a proposed digitization process, taking into account
the above.

Printing is by PDF format (which makes printing consistent despite differences
in individual printers)

Offer printing by individual page or by entire document
-
Add description of how to use digitization interface in each record and
at the top of the digitization page.

Eric's procedure has been adopted and used to put one document online so
far. Others are ready to go!

Adult Education Web Site (Guest - Blake Bennett, KYVL).

Blake presented a handout to describe the proposed web site that will unite
the Adult Education database with the Adult Education courses offered via
KYVU.

A functional mock up will be available in the next week or so.

The site will be up by the State Fair

KAACE - Sept. 11-12. The database will be presented in 2 sessions.

New Issues (everyone).

LINCS - The work they will have to do to give us their records will cost
them $5,000. We are working out the procedures now, and expect to
have the records sent to us in October.

Mapping - This issue had to do with mapping the subject terms for our nav
bar with the zillion subject terms from LINCS. Because of the way
we have now constructed the nav bar, this is no longer an issue.
We will not add a new field to the records for our terms, but rather will
create the links off the nav bar to conduct a broad keyword search, which
will get a large number of records because it will search several fields.

Help Page - We need a description of the database, instructions on using
the interface and information on how to get help.

Links to the SMEs and other workgroup information (who created this database?)

Provide links to other Adult Ed sites in the state? (Jane will draft
this)

Web site advisory group - Jane is looking for volunteers

Books on tape - This is a Randolph issue. (I'm not sure what the
discussion was on this. Can anyone fill in?)
