DAEL – Destinations Meeting

Agenda

Cheryl King stated that she wanted to review and discuss the flow from www.kyvae.org to the actual Destinations online product, hopefully identifying barriers and possible solutions to those barriers. She stated that her primary concern was for the lower level adults who would attempt to access and use Destinations via KYVAE.

Cheryl was emphatic that she was most concerned with “process” and how the site/product looked and felt for the end-user.  Her concern arose from her own frustrating experience attempting to register for and take curriculum via KYVAE/Destinations from home.

Action Items

1.      Website flow-through and information review – Cora, Sue, Melanie, DJ, Jane, and/or other DAEL designees. Miko will convene this group.

2.      Online Registration explicit email about Destinations, what will happen, and who to contact when they encounter difficulties – Gene, Tim, Sue, Melanie, Jane, Cora

3.      Virtual Teacher/Adult Ed Provider – DJ, Cora, and/or other DAEL designees

Decision

We will use the learning centers as the entrance for online learners as phase 1 implementation.  We will have completely virtual learners as phase 2 implementation after action items #1-3 are resolved. This will allow us to appropriately market this product. 

Notes

1.      Attempt to go straight to Destinations from kyvae’s top page unsuccessful -- Need clearly identified shortcut/link to Destinations product for users who already know what they want to access. Need to spell out what DAEL stands for at bottom of page.  Give easy option/instructions for first time visitors. -- Melanie.

2.      Flow from www.kyvae.org to “Adult Learner” to “How to Get Started” to “Contact your Local Center” confusing --  “Contact your Local Center” should not list the three current options (“Local Adult Learning Centers,” “Family Literacy Providers,” & “Corrections/Prisoner Education Providers”). Instead it should open the list of “Local Adult Learning Centers” listed by county in alpha order; however, the list should only display the counties/contacts who have been trained to support Invest Destinations (only 30 – 40 of the 120 now listed ) (Jane’s note: This needs discussion. There may be a place where the entire list is appropriate and another place where just "Destinations counties" are appropriate. It maybe one list with Destinations counties in bold; I don't know.  – DJ has the list of counties with trained instructors.  Stephanie Leathers at DAEL maintains the list of contact in each county.  Two DAEL employees saw several errors in the local learning center page; Jane will issue a call for corrections.  I need clarification: In phase 1, we are only serving online learners from counties that have trained instructors, right?) -- Melanie, DJ, DAEL database administrator (?)

3.      Registration process needs to be amended such that a virtual student is assigned to a county adult ed provider where the student resides if possible. If, however, a student is a resident of county with no trained Destination instructor, then (s)he is assigned to virtual instructor independent of county – Tim, Melanie, DJ

4.      Registration triggers email to both registrant and provider. Email to registrant should contain detailed information about username and password, and just as importantly, information about how to navigate online environment, paying special attention to “busy” portal page, click on DE100.01 in the My Courses box, who instructor is and contact information including e-mail and phone – Gene, Tim, Sue, Melanie, DJ, Jane Martel, Cora

5.      Need clear step-by-step instructions for downloading/installing software necessary for Invest Destinations. Cora agreed to work on Invest Destinations side to direct students to appropriate areas (CD or no-CD) with more understandable and easier to use instructions appropriate to particular users. (Will need to identify that JSEP, citizenship, and writing need CDs). Virtual learner type – only choice is “Quick Start”and reduce options to simplify the environment. – Cora (w/ feedback from DAEL and KYVU admin & staff). Need button in addition to “Login and Go to Class” listed as “1st Time Users Click Here” that takes the user step-by-step through registration.. – Melanie, DJ, Cheryl

6.      The Prometheus Login Page needs language that tells adult learners what to do if they do not yet have user name and password and/or click “X” to register as an Adult Learner. -- Paige (Eduprise), Melanie

7.      Need to ensure that students know who to call to talk them through the processes and to ensure that the four following functions are carried out:

·        Register student in Invest Destinations -- DJ

·        Add/assign reading and/or math locator -- DJ

·        Mail learner a CD -- ?? DAEL

·        Assign instructor w/in county or for virtual county – Tim, Melanie, DJ

·        Notify instructor of new student assignment; instructor puts student in a group

8.      In Prometheus, Destinations jump page needs following change: “Use same user name and password to log in . . .” – Paige (Eduprise), Melanie,

9.      For phase 2, need Destinations orientation prior to arriving at Destinations site – Cora, DJ, ???

10.  Pass through authentication from Prometheus to Invest Destinations – Eduprise

11.  Change Prometheus syllabus

12.  Somewhere (!) add in online learning is free of charge, confidential, private, etc.
