Outreach Work Group Minutes


November 20, 2003

Present: Allan Ashman, Marcia Freyman, Cindy Gaffney, Stacey Nickell, Sue Patrick, Debbie Sharp, Enid Wohlstein

Introductions and review of September 11th minutes.

Review of the PSA guidelines and entries to date. It was noted that the deadline for the commitment letters was extended from mid-November to December 1st. Enid handed out a list the participating schools which included elementary, middle, and high school entries.

Recommended that three awards be given, one to the best PSA at each school level. Certificates will be given to all participants.

Allen asked if there was any money available to broadcast the winning entry. Due to budget limitations, it was suggested that Windows Media could be used to convert the VHS entries and transfer the videos to CDs. The CDs would be sent to news stations across the state along with a press release. It was also recommended that all the entries be available for viewing on the KYVL web site.

The PSAs are due February 1st, 2004. The KYVL Outreach Workgroup will have approximately 4 weeks to judge the entries. Elaine Harrison, STLP Coordinator for the state will also participate in judging the videos. The winners will be announced at the STLP awards ceremony on March 5th, 2004. This is part of the Kentucky Teaching and Learning Conference being held next year at the Louisville Convention Center.

It was recommended that the contest should be opened up to college level students next year.

It was suggested that public libraries announce the contest winners on their web sites. The libraries should also include a link to the KYVL web site so that customers may easily view all the PSA entries.

Enid expressed interest in assessing links to KYVL through school and public library web sites as part of the committee’s mandate. She wanted to know when the web sites were last updated and if the web sites are still using KCVL. It was suggested that KDE should have a list of school web sites and perhaps these sites could be divided between committee members for assessment. This will be discussed further at the next meeting. Enid will contact Judith Gibbons to see if Regional Librarians could be contacted to assess public library web sites in their regions. It was recommended that the committee create a simple assessment form for use by the Regional Librarians and committee members. It was also mentioned that instructions should be included on the KYVL web site for adding the KYVL logo to a web page and how to turn it into a hyperlink.

Marcia and Stacey stated that they would add KYVL training to the agenda of the next LIRT (Library Instruction Round Table) meeting.

Enid noted that a librarian’s page is in the planning stages and will be added to the KYVL web site. The purpose of this page is to create a clearinghouse of training materials.

It was decided that members present at meeting would each look at a section of the ALA LIRT site (www3.Baylor.edu/LIRT) to gather ideas and determine if there are any resources that the committee could use. Members were asked to post their results on the KYVL Outreach Workgroup listserv.

Cindy volunteered to act as chairperson. Please notify Enid if you were not present and would like to assume this honour.
