1. What's New?  Updates from VLAC Members

 

Hannelore announced the UofL 2 millionth volume celebration.  The actual book is the Muhamed Ali book.  Each library will have their own special volume.  The Ekstrom Library addition is in the works and will be finished mid-September.  The addition will contain robot storage and have the capacity for 1.2 million volumes.  Integration of the Kersey Engineering library with Ekstrom will take place and be complete by mid-2006.  Six or seven staff will join the main library staff.  Ekstrom is also getting a Starbucks.

 

Hannelore also announced that the international LOEX conference will be this Spring at the Hyatt.  They anticipate 275 attendees.

 

Carol announced the UK Libraries reorganization was implemented 3 January.  Now workflows are being redesigned.  SFX has been purchased and will be implemented for Fall semester.  Working on traditional storage at Spindletop [37 ft high shelving].  Carol believes it will focus statewide efforts on “last copy.”  Discussions are taking place regarding an Information Commons/Learning Commons and possibly partnering with the Teaching and Learning Center. 

 

SAALCK/SOLINET will conduct a workshop on Today’s Intellectual Property Issues on 30 March.  Presenters include: Georgia Harper, University of Texas; Lolly Gasaway, University of North Carolina, and Dwayne Buttler, University of Louisville.

 

Carol also announced the Distinguished Authors speaking series.  David Halberstam will be the next speaker.  He will be teaching a Master Class, and most likely, UK 101 will have a related assignment.  Also the Kentucky Women Writers Conference takes place March 24 & 25.  The convocation will be in the Young Library Atrium.

 

Diane announced that the Kentucky Teaching and Learning Conference (KTLC) is next week.  The Kentucky School Media Association (KSMA) will have a board meeting during the conference.

 

Dennis discussed the state budget status and what may happen if the legislature does not approve a budget, this includes a state government shutdown except for emergency services.  Dennis also discussed capital budget planning.  There is a six-year capital plan, and a biennium budget.  As an agency, CPE will make a K-20 bond recommendation.  Various components will come from the different Education Cabinet agencies separately but will be related.  The recommendation contains specific items, with priorities assigned as well as institutional requests.  He anticipates a $30 million bond recommendation.  Norma interjected that the capital technology projects now includes the databases for KYVL and the ILS.

 

Dennis also mentioned SREB and the exploration of learning objects repositories.  Sucha repository for Kentucky would require new servers capable of storing and serving up streaming media.

 

A general discussion ensued regarding Kentuckiana Digital Library and the potential of its content being expanded to hold digital learning objects.

 

2.  Minutes

 

Enid will review the minutes for August 6, 2004 and October 29, 2004 and bring to next meeting.

 

3.  VLAC membership.

 

Membership was reviewed.  The committee has 13 voting members, 7 are required for a quorum.

 

4. KYVU Update (Northern)

 

Spring enrollment numbers are not yet in. 

 

Embanet had some trouble reason but our servers were unaffected. 

 

In Fall 2004, KYVU had 35,130 users.  Professional versus Academic courses were about 50/50.  About 20,000 was Academic and the rest was K-12 or professional development. 

 

UCAN project – University Coordinated Advising Network.  The vendor to provide the software that will network the call centers together has been selected.

 

The RFP for the library portal has been put on hold while we try an alternate route for approval. 

  

5. KYVL Mission/Goals (Wohlstien)

 

The current KYVL Mission and Goals were reviewed.  Laurene moved and Lisa seconded, to accept the revisions as presented.  Motion carried.

 

6. 2nd Annual SLTP "Create ad KLVL PSA Video" Contest

 

Sixteen letters of commitment were received, one from each division.  Requirements were to produce a 30 second, Windows Quicktime video.  Entries were received in all types of formats.  Videos were viewed.  Enid discussed potential use of the winning videos.

 

7. KYVL Member fees - Special Libraries (Wohlstien)

The KYVL member fees for Special Libraries were reviewed.  Enid requested VLAC support that Special Libraries not included in the Partners/Other, Special Academic, or K-12 categories approve the established membership fee for new special library members.  Enid also asked that VLAC approve the approach to incrementally raise the fee over the next two (2) years of special libraries which have been members since 1999/2000.  A letter will be sent to explain the level of price increase needs. 

 

Laurene moved and Shelley seconded, to define "Special Library" as a library that does not fall within the K-12 or Postsecondary definition within KYVL.  Motion carried.

 

Hannelore moved and Carol seconded the minimum fee for Special libraries.  Motion carried.

 

8. KYVL/Workgroups Update (Wohlstien)

 

Enid reported that she will be co-presenting "Pathways to Postsecondary Education: Librarians as Trail Guides" at the Strategies for Change Conference, March 28-29 with Rose Davis (WKU) and Reinette Jones (UK).  This session will be combined with one Hannelore (UofL) submitted to be presented by Latisha Reynolds for a 90 minute program.

 

Interface issues with ERIC were discussed.  EBSCO is checking on the problems.

 

What’s new at KYVL?

 

Our New Senior Reference Librarian

Tim Chase joined the Kentucky Virtual Library staff on 16 February. 

After graduating from Transylvania University, Tim Chase served in the Army, then completed a graduate degree in music. Tim has an MSLS from the University of Kentucky and a JD from Salmon P. Chase College of Law.  Beginning in 1994, Tim worked in Cincinnati as a librarian and later as a library Information Technology manager. From 1999 through 2003, Tim ran his own library technology consulting company specializing in application integration and implementation. Recently, Tim has been the Publications Director for the UK College of Law Office of Continuing Legal Education.

 

In his role as Senior Reference Librarian, Tim will perform and coordinate all activities relating to the KYVL Reference Desk, training, resource sharing activities, and usage reports to facilitate the use of the KYVL services, as well as supporting the development and maintenance of the KYVL and KYVU websites and other projects in support of our mission.

 

Tim's expertise and experience, as well as his good humor, will be an excellent addition to KYVL.

 

What are we thinking about?

 

Initiate a meeting of all postsecondary distance learning librarians, possibly creating a listserv as well, to create a forum for idea sharing, discussions, questions, etc. 

 

Create a new workgroup for Systems Librarians from postsecondary and public libraries and establish a listserv to serve as a forum for idea sharing, discussions, questions, etc. 

 

Lisa moved and Rose seconded, that a Systems Librarians Workgroup be established.  Motion carried.

 

Workgroup Updates

 

ADA –

Conversion of KYVL main site to standards-based, cascading style sheets with templates is in the works.  Accessibility statement has been finalized.  Access keys have been determined.

The workgroup has been asked to view the mockup and provide any feedback.  A set of questions has already been written to use with focus groups in order to provide input on the new design in CSS.

 

Kerri Clark and Tricia Davis have joined the ADA Workgroup.  Kerri is the appointed rep from EKU.  Tricia comes from the Center for Deafness, housed at EKU. 

 

Also, as of last week, we have purchased a TTY device!  It is an Ultratec 4425 Superprint w/ASCII.  We have ordered a new toll-free phone line in order to have a dedicated number just for TTY.  We anticipate installation in about three weeks.

 

The group is also discussing an ADA Workshop for public libraries for the spring with various experts and individuals representing agencies who can assist public libraries with questions, needs, direction, etc. with regards to ADA compliance, for both facilities and electronic resources, like the web.

 

Collections ­

The Collections Workgroup has launched the KYVL Online Resources Customer Satisfaction Survey for the various KYVL user groups. 

 

Targeted emails were sent the various KYVL groups to announce the surveys and ask for help in promoting user feedback.

 

The message read as follows:  The workgroup is conducting Satisfaction Surveys on the current KYVL databases in anticipation of the contract process.  It is extremely important that you and your constituencies let us know opinions and needs in regard to subscription databases. 

 

Based on the results of past surveys, the Work Group has created a number of surveys geared toward specific audiences.  We are hopeful that these will be less frustrating for the responders and will subsequently provide the Work Group with clearer results. 

 

These surveys are available online at http://www.kyvl.org/html/about/databases/survey2005.shtml   Attached are Word document versions containing these same surveys in a printable form should you want to hand them out or put them at computers.  These printed surveys should be returned to Myra Morton as listed at the bottom of each print survey.

Endeavor –

The workgroup will meet 11 March.  Tentative agenda includes:  possible creation of a task force for the Service Level Agreements.  Also reporting on the LCC migration project and what has been happening with the Unicode test.

 

Government Information Access –

GIA, in collaboration with KYVL, planned a free workshop for 1 November entitled “Finding Free GOLD:  Government OnLine Documents.”  Fifteen presenters covered eighteen topics in 20 minute sessions.  The workshop was intended for public and academic librarians and covered Kentucky, U.S. and International resources. 

 

We had 69 registrants.  16 cancellations or no shows.

58 Evaluation forms turned in.  The feedback was overwhelmingly positive and appreciative of our presenting the workshop.  The attendees received a packet with all presentations and handouts. 

 

We are working with Embanet, which provides instructional design services, to take the VHS video of the workshop and the presentations and accompanying materials and create digitized video clips packaged with the related materials.

 

Information Literacy –

The group created a survey for KYVU faculty to assess knowledge and use of KYVL’s How to Do Research tutorial and determine if KYVU faculty feel their students have good information literacy skills.  The survey will be launched 14 March.  The group has also revised the How to Do Research tutorial and has created pre- and post-tests.  We are working with an instructional designer from Embanet to convert the tutorial to the Angel course management system so instructors may use all or part of the tutorial within Angel courses.  The instructional designer has provided us a “first draft” of the redesign, within the Angel CMS, and the group will review and comment.

 

Outreach –

KYVL held its 2nd Annual STLP  “Create a KYVL PSA Video” contest, with some revised rules.  The contest is a great way to expose KYVL to more students and teachers and also to spotlight the STLP (Student Technology Leadership Program) students.  This year, we increased the video length to 30 seconds and required entries to be in Windows Quicktime format.

Portal –

The workgroup was actively writing the KYVL RFP.  We are still moving forward and are hopeful we will select a vendor or vendors by next summer.  Since we are approaching this with the intent of a statewide license to allow other library systems to join the collective (much like Endeavor), the group is committed to writing a solid RFP.

 

Resource Sharing –

The workgroup will be posting two surveys – one to collect feedback regarding the courier service and another to collect information on the ARIEL issues.  The global ARIE-L listserv has had a great deal of traffic the last two months regarding the recent ARIEL upgrade.  SOLINET is aware of the problems and concerns we have with the new ARIEL version and is willing to speak to Infotrieve after we collate the survey responses.

 

The group is discussing the responses from the survey conducted early in 2004 and talking about ILL training that may be created or provided.  Training is needed around the state on various ILL platforms and ILL-related issues.  The group is also pursuing joint projects or initiatives with KLA’s ILL Roundtable to share resources and expertise.
