Simple Database Searching

Kentuckiana Digital Library Database: Holds bibliographic records with links to digital resources, currently including archival finding aids, electronic texts, digital photographs, and audio files. The database can be searched by defined fields; creator/author, title, etc.

Select desired search type by clicking on a search tab. *Note, the default is "Simple Search", searching for your term or phrase in all the fields included in the database.

Type a search term or phrase into the search sliver and click the "Search Database" button.

When constructing a search phrase, include a "+" between each word in the phrase: civil+war+letter

Use "and", "or", or "not" to further refine your search string: coal and warren+county

Nest search phrases using parenthases as in the following search string: (firearms or guns) and crime.

To find a term and its different variations perform truncation using an asterisk as in the following search: educat* (this search will retrieve records containing educate, educated, education, educational, and all other words beginning with educat )

Be aware of stopwords, those too common to search for in the database because they occur so often. Example stopwords: a, an, are, be, but, for, from, of, on, that, the, was, which... *Note, the database search engine ignores stopwords included in a search string.

Advanced Database Searching


Select the advanced search tab.

Select desired field to search. Also select the desired Boolean operator; and, or, not.

Set search limits using drop down boxes. *Note, only selecting search limits does not construct a complete search query. Search limits only work when used in combination with an input search term (see step 6).

Type a search term or phrase into the search sliver and click the "Search Database" button.

Search Database by Kentucky County

Clicking on a county on the Kentucky map, or use the alphabetical list of counties. The search form retrieves all the records in the database that relate to the specified Kentucky county.

Browse Database by Broad Topic Term (Library of Congress)

Clicking on a topic area term executes a database search for resources related to the topic.

Searching & Navigating Full-Text

Kentuckiana Full-Text Database: Comprised of full-text archival finding aids and additional full-text resources. This database can be searched via full-text and browsed by resource type (Archival Finding Aids, e-Books, and Oral History Transcripts) and KYVL repository.

Navigating

  • Select a collection title indicated by the icon to view the hot-linked list of the documents within a collection.
  • Select a document title indicated by the icon to view the hot-linked table of contents for that document.
  • Click on these (  ) to expand and collapse levels in the table of contents for .
  • Click on these ( ) to move from one section of the document to another.
  • Digital objects in the form of thumbnail images. When links in the form of thumbnail images appear in documents, clicking on the thumbnails will open a new browser window holding the larger image. 
  • In Non-Frames mode, click on the icon to go to the table of contents for the current book.

Search

Use key search terms. Specific search term (names, places, events, years) yield more successful search results. The full-text collections are not searched by fields like database records. For a search, exact search term matches are found within the full-text of available collections and documents. 

Use standard keyword searching, wildcards, proximity searching and Boolean searching. Conduct searches localized within an individual document, widened to include an individual collection, or to search across all document collections.

Following a search, before each collection title or section, the number of search hits is displayed in red. Within individual documents, the found text elements appear in bold red text.

Searches are not case sensitive.

Use proximity or Boolean ("and", "or" and "not") searching techniques

The following icons appear around found text within the searched document. Clicking on these icons jumps to the previous and next hits from a search.

Searching & Navigating e-Books

An e-Book is comprised of digital page images delivered via the Web to allow users to search and browse an electronic text in a "page turning" format. e-Books may include a wide range of printed and original manuscript material including books, journals, diaries, etc.

Searching e-Books

Bibliographic records for e-Book resources are created in the Kentuckiana Digital Library Database and e-Book resources are also linked to from selected searchable archival finding aids.

The Kentuckiana Digital Library e-Books collection allows for full-text searching of many texts. A full-text search can be executed using keywords and Boolean operators across a collection of e-Books in the digital library and at the individual e-Book level. Search hit results are grouped by collection, e-Book, and page number.

It is important to consider that individual e-Books may have been processed in a different manner from other individual e-Books in the collection. This is largely due to alternate source formats (i.e., printed vs. hand written manuscript material requiring manual transcription for searching) and human resource constraints. **Hand written manuscript material often does not include searchable full-text along with page images.

Enter a search term and hit return key or click on the 'Search' button to execute search.


All controls target the right frame. From left to right; view previous and next pages, activate thumbnails view, view transcribed or raw text (if available), hi-resolution image link (if available), activate print view for PDF (if available). Buttons will disappear when their actions are not available.

Printing e-Books

The page images sent to you by our web server are medium resolution. This enables them to be transmitted to your computer quickly and allows your web browser to render them in a size that fits on your computer monitor. However, these pages are not appropriate for printing.

In order to print readable copies that fit on a single 8.5 x 11 standard sheet of paper, you must click the print button when it is available. This will load a Portable Document Format(pdf) version of the page image. In order to view and print the Portable Document Format(pdf) pages, you will first need to make sure you have the Acrobat Reader application installed on your computer and configured as a helper application for your web browser.

Note: Not all e-Books offer printing functionality.

Using Archival Finding Aids

What is an Archival Finding Aid?

An archival finding aid is a detailed description of the contents of an archival collection. Finding aids include inventories, registers and guides to assist scholars and researchers in identifying the scope of intellectual content present in a particular archival collection. Through searching and browsing a finding aid, scholars and researchers can more easily determine whether or not the collection holds appropriate material for their research needs.

Common Finding Aid Structure

Descriptive Summary: Includes basic information about the collection such as title, creator, collection number, repository, and physical extent in terms of cubic/linear ft. and box and folder counts.

Administrative Information: Includes any access and use restriction information as well as preferred citation to be used when citing the collection.

Biographical Sketch: Brief biographical text concerning the collection.

Scope and Contents: Brief overview of the contents of the collection.

Series Description: Brief descriptions of each subseries of the collection.

Container List: In-Depth description of the collection using container references such as [box 1, folder 3], etc. This section may contain links to digitized collection items.
